Club management software

Every club you run, under one roof.

Membership, passes, equipment and finance on one screen. Built for multiple clubs, and it does the job in a single gym.

30,016 concurrent users and zero failed requests under load.

The starting point

Club data lives in five places.

Door access in one system, passes in another, invoicing in a third, equipment servicing in a spreadsheet. Anyone with a question checks three places and then asks a colleague.

  • One record

The member, their pass, their club and their permissions live in the same system. No second version of the truth.

  • Many clubs, one account

The chain level was not added later. Shared master data and the per-club view work together.

  • Traceable decisions

Every change carries a name and a timestamp, and the log cannot be switched off.

Features

What you can use today.

Working screens, tested end to end.

  • Member directory

A searchable list with filters and a detail panel. A member's full history in one place.

  • Membership plans

Plans with their own access zones. The pass decides who may enter where.

  • Clubs and zones

Several clubs under one account, each with its own areas and capacities.

  • Equipment

Condition, warranty and cost per machine. A reported fault becomes a maintenance record.

  • Finance

Transaction overview and export for the accountant. Nothing can be overwritten in the system.

  • Staff and permissions

Three levels per module. Whoever sits at the front desk sees exactly what the job needs.

  • Audit log

Every change carries a name and a timestamp. Auditable, and it cannot be switched off.

  • Access requests

New staff request access, an administrator approves it. Nobody lets themselves in.

  • Subscription

A card-free trial. When it ends the data stays, only writing stops.

  • Setup

A guided setup walks through the first club: details, zones, plans, permissions.

Numbers

Measured, not estimated.

A club system shows its worth at opening time and at peak. The figures below come from measurement.

  • 30,016

    concurrent users

844,200 requests during the run, with zero failures.

  • 4.4ms

    p95 response

Dashboard, member list and search, measured 95th percentile.

  • 98.4%

    code coverage

Continuous integration will not let it fall below the threshold.

  • 10

    modules

Each with its own database boundary, extractable on its own.

  • Separated customer data

No club can reach another club's data. Automated tests guard this before every release.

  • Runs on Kubernetes

In multiple replicas, sized for restarts and for peak load.

  • Traceable failures

Structured logging with correlation ids: one report can be followed across the system.

  • Payments on Stripe

An established provider handles the banking side; no card data enters the system.

Roadmap

What is being built.

The foundation is done. Each of the next nine steps is a module of its own, and all of them build on it.

  1. 01Next

    Buying a pass online

The member buys their pass in the system and is notified before it expires. Enrolment is completed at the front desk, so a purchase cannot become an account.

  2. 02Next

    Mobile app

The purchased pass becomes a QR code the member enters with.

  3. 03Next

    Turnstile

The software driving the door checks the code locally, even when the network is unreachable.

  4. 04Large module

    Timetable and booking

Classes, trainers, capacity, cancellation rules. The largest item on the list.

  5. 05Hardware

    Locker control

Opening and locking a changing-room locker from the member's phone, with per-locker state.

  6. 06Hardware

    Receipt printing

On-site till receipts, matched to local regulation.

  7. 07Under review

    Shop and till

Product sales with stock control and payment started from a phone.

  8. 08Internal

    Operator console

A surface of its own for the platform operator, one level above the clubs.

  9. 09Internal

    Self-service start

A club can start its trial without anyone in the loop.

Who it is for

From one gym to a chain.

The system assumes more than one club. That is what makes it right for a single gym too: there is nothing to outgrow.

  • Chain

Shared master data, a per-club view, permissions handled from one place.

  • Single gym

The same system at a smaller scale. The second gym does not force a change.

  • Franchise

Units work on separated data while head office still sees how the business runs.
